What is Books@BEA?

Books@BEA is the official online product catalog for BookExpo America 2012.  Above the Treeline and Reed Exhibitions have partnered to make this free benefit available for contracted exhibitors.  The catalog is powered by Edelweiss Interactive Publisher Catalogs, the industry’s leading provider of digital catalogs.

Who will see my titles in Books@BEA, and where?

Anyone will be able to visit the Books@BEA site (not yet live, but the URL will be http://www.booksatbea.com) and it is also accessible to all Edelweiss users through Edelweiss within the Tradeshows area. Reed Exhibitions will be promoting the site closer to show time as well. Users can browse titles by publisher, subject, format etc.

Who’s eligible to post titles in Books@BEA?

Contracted exhibitors at BookExpo America 2012 who have current titles (published in 2012) that are being featured or highlighted at the show are eligible to participate.

What is the deadline for adding or editing my titles?

We ask that you have your info entered by May 24th, 2012 if at all possible.

When will the catalog go live?

It will go live around May 14th, 2012 and will be taken down by the end of June 2012.  For those interested, there will be a fee-based option for continuing to utilize Edelweiss features.

How do I enter my titles?

Your official Reed Exhibitions contact should have received an email with your exhibitclick to go to Map Your Show loginor ID and password for logging into Map Your Show, part of the BEA site. This is where you have access to the section where you can add and manage your Book@BEA titles. This is the same area where you manage company listing, contact information, Web site, product categories, show specials, and press releases for BEA.

Once you have logged in, click on the orange banner that looks like this to get to the Books@BEA. Entering titles is easy.  Simply paste in your ISBNs from Excel or type them in.  When you successfully submit your titles, they should appear on the screen with available data from Ingram or Edelweiss (for Edelweiss participating publishers.)

How do I enter my title information?

The default information is pulled from Ingram Book Company data.  If you do not see any title information available, this means Ingram apparently does not have title information for your titles in its master database.  You can manually enter, supplement, or override information for your titles by using the “edit” button on the right side of the screen.  You can also upload a cover image.

How many titles am I allowed to enter?

There is no strict limit to the number of titles, but they should only be titles that you plan to feature at Book Expo.  In order to avoid overwhelming browsers using Books@BEA, we encourage you to include the key titles you most want people to know about.

Can I adjust my information after I initially submit it?

Yes, you can add additional titles, edit existing title information, or remove titles at any point using your authorization code to access the system – the system is real-time and changes should be reflected upon submission.  We ask that you have your info entered by May 24, 2012 if at all possible.

We are a subscribing Edelweiss Client - can we use the Edelweiss catalog administration for this?

This year, titles must be added via the Reed Exhibitions site for BEA initially. But because you are an Edelweiss customer you will be able to access and edit the catalog through the normal Edelweiss catalog administration tools once it has been started via the Reed site. You should not need to add any bibliographic data because we can capture the bibliographic info from the ONIX data we already receive. And if the titles are in Edelweiss catalogs already, the BEA catalog will also show any ancillary data you added via other feeds or manually.  Please contact us if you need help with the Reed login, or if we can load your BEA titles for you.

What is Edelweiss?

Edelweiss is the publishing industry’s leading on-line interactive product catalog service.  It is a system that enhances or replaces the use of traditional hard copy catalogs.  Publisher clients include Random House, Hachette, Macmillan, HarperCollins, Penguin, W.W.
